Our role
We act as the data controller for personal information collected through our website and in the course of our business relationships.
When an organisation provides the Zendom platform to its people, that organisation is the data controller for platform data, and we act as a data processor on its behalf, under a written agreement and in line with its instructions.
Information we collect
- Contact information you provide when you get in touch with us, such as your name, organisation, role and email address.
- Account information provided by your organisation when you are given access to the platform, such as your name, work email and team.
- Learning activity, including programmes started and completed, practice activity, assessment results and self-assessments.
- Technical information, such as device and browser type, IP address and usage data, collected through cookies and similar technologies.
How we use information
- To provide, maintain and improve our website, programmes and platform.
- To respond to enquiries and manage our relationships with clients.
- To provide organisations with anonymised reporting on engagement and progress.
- To keep our services secure and to meet our legal obligations.
We do not sell personal information.
Legal bases
We process personal information where it is necessary to perform a contract, where we have a legitimate interest in running and improving our business, where we have a legal obligation, or, where required, with your consent.
Sharing information
We share information only with trusted service providers who help us operate our services, such as hosting, email and analytics providers, under appropriate contractual safeguards. We may also disclose information where required by law.
Reports provided to organisations are anonymised and apply minimum group sizes, so that individual responses remain private.
International transfers
Where personal information is transferred outside the United Kingdom, we ensure appropriate safeguards are in place, such as UK adequacy regulations or approved contractual terms.
Retention
We keep personal information only for as long as necessary for the purposes described in this policy, or as required by law or by our agreements with client organisations.
Security
We use appropriate technical and organisational measures to protect personal information, including encryption, role-based access controls and regular review of our security practices.
Your rights
Under UK data protection law, you have the right to access, correct or delete your personal information, to restrict or object to its processing, to data portability, and to withdraw consent where processing is based on consent.
To exercise your rights, contact us at hello@zendom.work. If your information is processed on behalf of your employer, we may refer your request to them.
You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
